How Visionary Coaches Can Stick to Their To Do’s Without Getting Distracted or Overwhelmed

If you’re anything like me, your brain is buzzing with brilliant ideas, creative solutions, and a to-do list that could probably stretch around the equator. But let’s be real for a moment: all that brilliance can sometimes make it challenging to stick to your tasks and get things done. Distractions and overwhelm seem to be our constant companions.

But fear not! Here’s a guide to help you stay focused, organized, and as productive as a squirrel in a nut factory. Let’s dive in!

1. Embrace the Power of Lists (and Lists of Lists)

Ah, lists. The saviors of sanity. But not just any lists—strategic lists. Here’s the secret sauce:

  • Brain Dump List: Start with a brain dump. Write down everything you need to do, want to do, and dream of doing. Get it all out of your head and onto paper.

  • Master List: From the brain dump, create a master list of actionable items.

  • Daily To-Do List: Each evening, pull 3-5 tasks from your master list and make that your focus for the next day. This way, you wake up with a clear plan and less decision fatigue.

2. Time Blocking: Your New Best Friend

Time blocking is like giving your day a map and compass. Here’s how to master it:

  • Chunk It: Break your day into chunks of time dedicated to specific tasks. For example, 9-11 AM for client calls, 11 AM-12 PM for admin work, etc.

  • Buffer Time: Leave some buffer time between blocks. You’re not a robot (I think), so give yourself a few minutes to stretch, grab a coffee, or have a mini dance party.

  • Themed Days: If you have recurring tasks, theme your days. Maybe Mondays are for marketing, Tuesdays for client sessions, and Wednesdays for content creation. Themed days can help streamline your focus.

3. The Pomodoro Technique: Tiny Tomatoes, Huge Productivity

The Pomodoro Technique is simple but mighty. Here’s how it works:

  1. Set a timer for 25 minutes and work on a single task.

  2. When the timer goes off, take a 5-minute break. Do something fun—stretch, doodle, or pet your cat (or dog, no discrimination here).

  3. After four “pomodoros,” take a longer break (15-30 minutes).

It’s amazing what you can accomplish in those focused bursts. Plus, who knew a kitchen timer could be so life-changing?

4. Use Technology (but Don’t Let It Use You)

Apps and tools can be your best allies—if you choose the right ones. Here are a few to consider:

  • Trello/Asana: Great for project management and keeping track of tasks.

  • Focus@Will: Music designed to boost concentration and productivity.

  • Forest: A fun app that helps you stay off your phone by growing a virtual tree as you work. Who doesn’t want a virtual forest?

  • And of course Calendars, Google Calendar, Apple Calendar, any calendar

5. Accountability Partners: Because We All Need a Buddy

Find a fellow coach or a friend who can help keep you accountable. Schedule regular check-ins to share progress, challenges, and, of course, victories. Knowing someone’s in your corner can make all the difference.

6. Celebrate the Wins (Even the Tiny Ones)

Let’s be honest—being a coach is hard work. Celebrate every win, no matter how small. Finished a blog post? Did a happy dance. Completed your daily to-do list? Treat yourself to a fancy coffee. Celebrations keep the journey fun and rewarding.

7. Self-Care: The Non-Negotiable Task

Lastly, never underestimate the power of self-care. Burnout is a real threat, so prioritize activities that recharge you. Whether it’s yoga, reading, or meditation, self-care isn’t a luxury—it’s a necessity.

Staying focused and productive in your coaching business doesn’t have to be an uphill battle. With the right strategies you can conquer your to-do list and keep overwhelm at bay. So, grab that planner, set those timers, and let’s make magic happen—one task at a time.
